Submission Guidelines for Abstracts

Please follow the instructions below when preparing your abstract for submission. A downloadable abstract template is available and must be used to ensure consistency across submissions.

Important note:
All abstracts will be reviewed by the Scientific Committee. The committee reserves the right to reassign abstracts to different presentation themes if deemed necessary. The committee also reserves the right to alter the author’s choice between oral and poster presentations.

Who can submit abstracts
 - Faculty, students, researchers and clinicians from SMU and other institutions are invited to submit abstracts.
 - You may submit abstracts for this School of Medicine Research Day as well as the SMU university research days event.

Abstract Format

  1. Maximum word count: 300 words
  2. Document should be typed in Arial, font size 11, 1.5 Spacing
  3. Abstracts must follow a structured format, with the following sections clearly indicated:

Background and Objectives, Methods, Results, and Conclusion

  1. Abbreviations should be spelled out fully upon first use, followed by the abbreviation in parentheses (e.g. Human Immunodeficiency Virus (HIV)). Use the abbreviation consistently thereafter.
  2. Figures, tables, and references are not permitted.
  3. Any conflicts of interest or financial disclosures must be clearly stated where applicable.

Title guidelines

  1. Titles must be written in sentence case (capitalize only the first word and proper nouns).
  2. Avoid abbreviations in the title.
  3. Use clear, concise language that reflects the core message of your study.
  4. Refrain from phrasing titles as questions. Instead, state the main outcome directly.

Example:
   How does exercise affect cardiovascular health in older adults? 
  The impact of exercise on cardiovascular health in older adults: A comprehensive review

Responsibilities of the presenting author

The individual submitting the abstract is considered the presenting author and is responsible for the following:

  1. Delivering the presentation (oral or poster) at the conference if the abstract is accepted.
  2. Ensuring all co-authors have reviewed and approved the final version.
  3. Providing accurate affiliations for all authors.
  4. Uploading the final version of the presentation materials if accepted.
  5. In the event the presenting author is unable to attend, a co-author (already listed on the abstract) may present in their place, provided they are registered for the conference. The presenting author must update the submission with the new presenter’s details.

Review outcome notification

Following peer review by the Scientific Committee, the corresponding author will be notified by email of one of the following outcomes:

  1. Accepted for oral presentation
  2. Accepted for poster presentation
  3. Requires revision
  4. Rejected

Copyright policy

By submitting an abstract, the author agrees to transfer copyright ownership to the conference upon acceptance and publication. While the conference holds the rights to published material, the underlying data remain the property of the original authors and/or sponsors.
